This Participant Agreement (“Agreement”) sets forth the terms and conditions under which TuscanHound Air (“we,” “our,” or “us”) provides transportation services for pets and their owners. By booking a service with us, you (“participant,” “pet owner,” or “client”) acknowledge that you have read, understood, and agreed to this Agreement.

1. Eligibility & Participation

  • Participants must be at least 18 years old or have legal authorization from a guardian to book services.
  • Pets must meet all health, vaccination, and documentation requirements as required by the destination country.
  • The participant confirms that their pet is in good health and fit for travel. Any pre-existing medical conditions must be disclosed before booking.

2. Services Provided

TuscanHound Air provides:

  • In-Cabin Pet Travel with a dedicated caregiver.
  • Road Transport for pets within Europe and the UK.
  • Documentation Assistance including pet passports, export certificates, and health certificates.
  • Veterinary Coordination for pre-travel medical requirements.

All services are subject to availability, scheduling, and compliance with local and international regulations.

3. Responsibilities of the Participant

  • Provide accurate and complete information regarding pet details, travel preferences, and required documentation.
  • Ensure all travel documents (e.g., passports, vaccination records, permits) are valid and up to date.
  • Adhere to all guidelines provided by TuscanHound Air, including pet handling instructions before and during travel.
  • Cooperate with airport authorities, customs officials, and TuscanHound Air staff throughout the journey.

Failure to comply with these responsibilities may result in service refusal without a refund.

4. Fees, Payments & Refunds

Cancellation and refund policies apply as follows:

A) Cancellations made 90 days or more before departure

    • Cancellations received more than 90 days prior to scheduled departure are eligible for a refund.

B) Cancellations made within 90 days of departure

Cancellations received less than 90 days prior to scheduled departure are refundable only if TuscanHound Air is able to re-sell/fill the cancelled seat.
If the seat cannot be re-sold/fillled, then no refund will be issued and no credit will be provided.

  • Any additional fees due to last-minute changes, documentation issues, or veterinary services must be covered by the participant.
  • Minimum bookings not met (flight will not operate)
    • If a TuscanHound Air shared charter does not reach the minimum number of bookings required to operate, TuscanHound Air will notify passengers and will provide one of the following options:
      • Alternative arrangements (e.g., a different departure date, route, or comparable shared charter option, subject to availability.

5. Liability & Risk Acknowledgment

  • TuscanHound Air takes all reasonable precautions to ensure safe and comfortable travel; however, we are not liable for:
    • Any injury, illness, stress, or discomfort experienced by the pet during transport.
    • Delays, flight cancellations, or border rejections due to government regulations, weather, or airline operational issues.
    • Additional costs incurred due to changes in travel plans caused by factors beyond our control.
  • The participant agrees to assume all risks associated with pet travel and is encouraged to obtain pet travel insurance.

6. Code of Conduct

  • Participants must behave respectfully toward TuscanHound Air staff, caregivers, and other passengers.
  • Any disruptive, aggressive, or inappropriate behavior (by either the participant or their pet) may result in service denial.

7. Force Majeure

TuscanHound Air shall not be held responsible for delays, cancellations, or inability to perform services due to natural disasters, war, pandemics, airline strikes, or governmental restrictions. In such cases, we will provide rescheduling options when possible.

8. Dispute Resolution & Governing Law

  • This Agreement shall be governed by the laws of New Jersey, U.S.A.
  • Any disputes arising from this Agreement shall first be resolved through negotiation. If unresolved, the matter shall be settled via arbitration or legal proceedings in the appropriate jurisdiction.
